Vacation is a time when someone (an employee) doesn’t go to work but is granted the opportunity to rest, relax, and attend to personal matters.
This vacation can only granted when the immediate supervisor approves the employee’s vacation request. The supervisor can deny the vacation request if it impairs the operations of the department or the company as a whole.
First of all, any employee who seeks to use vacation time must complete and submit a vacation request form to the human resource department. Although a vacation request form may vary from one organization to another, a typical vacation request form contains the employee’s name, number, department, the manager’s name, the total number of vacation days requested (the vacation beginning and ending dates), and the signature of both the employee and the manager. The vacation date enables the manager to ensure that all the employees don’t go on vacation at the same time.
Once the employee has filled the request form, he or she then sends the request form to a designated supervisor who maintains a spreadsheet of requests from other employees as well. On getting this request form, the supervisor sends out an email to notify the manager of the vacation request form and also to the employee acknowledging the receipt of the document.
The employee’s manager is responsible for reviewing and authorizing the vacation request. If the request is rejected, the manager sends the form back to the employee for modifications or additional information. The review and modification cycle continues indefinitely until the request is approved.
Once the request is approved, the vacation request form is then forwarded to the human resource (HR) department for processing prior to the payroll cut off for that period. The designated person in the human resource department registers the vacation days into the vacation request form.
